The Operations Assistant provides financial, HR, and administrative support in order to ensure organizational effectiveness and a safe and operational environment for the staff. Candidates need to enjoy variety in their day-to-day schedule in a fast-paced, energetic, and collaborative agency setting. Strong organizational skills with the ability to prioritize and work independently with little supervision are imperative.
Reports to: Operations Manager
Position Type: Full-time, salaried
Expected Hours of Work: Monday – Friday, 8:30 a.m. to 5 p.m. or equivalent. Flexible/hybrid office environment.
Essential Job Functions:
Provides routine accounts payable and bookkeeping support.
Processes biweekly payroll and benefit transmittal to PEO.
Weekly bank deposits.
Actively participates in the planning and execution of company events, employee recognition, in-house professional development, and quarterly training sessions.
Coordinates mail, deliveries, supply orders, and equipment inventory.
Liaison with office and technology suppliers and providers.
Maintains digital client legal documentation.
Assists with internship program as needed.
Cross-trains with traffic manager to provide limited backup when needed.
Skills and Experience:
Proven business administration skills; administrative, office, or departmental management a plus
Related degree, certifications, and/or experience in bookkeeping preferred
Knowledge of Microsoft Office, Adobe, Google Suite, and Quickbooks
Knowledge of project management software a bonus
Strong interpersonal and communication skills
Strong time management stills, including experience working independently and remotely
Detail-oriented, positive attitude, and motivated to learn
Work Environment:
Flexible work environment blending on-site and remote work leveraging technology, standard office equipment and communication tools and activities to meet the fast-paced and fluid demands of agency operations.
Physical Demands:
This job requires extensive computer time and communication time both on digital applications (Slack, Google Meet, etc.) and by phone, and interacting in a dynamic agency environment. The employee is frequently required to sit for long periods of time.This position also requires the ability to lift up to 25 pounds and bend or stand on a step ladder as necessary.
Travel:
No long-distance travel is expected for this position. However, this position may be required to drive to pick up office supplies and other items during the regular course of the day and within a 45-minute radius.
