Reports to: President
Position Type: Full-time, salaried
Expected Hours of Work: Monday – Friday, 8:30 a.m. to 5 p.m. or equivalent. Flexible/hybrid office environment.

Essential Job Functions:

  • Assists president in implementation of policies, programs, and procedures
  • Manages part-time staff, including bookkeeper and traffic manager, and agency internship program.
  • Manages orientation and training programs for staff, including DEI training.
  • Monitors and oversees the administration of all human resource activities and policies, in conjunction with PEO, including but not limited to, e-verify, payroll, PTO, pre- tax deductions and 401K, EEO or affirmative action, employee handbook, health and safety, and benefits programs.
  • Liaisons with PEO to ensure the agency follows best practices for hiring, promotions, performance plans, and terminations.
  • Completes all banking functions, including making bank deposits, issuing and tracking credit cards, issuing checks, and verifying bank statements.
  • Assists agency CFO and CPA firm for tax preparation as needed.
  • Coordinates maintenance, mailing and deliveries, shipping, supplies, and equipment, including negotiating vendor contracts.
  • Participates actively in the planning and execution of company events.
  • Fills in for traffic manager as needed.

Skills and Experience:

  • 5+ years’ operations and/or human resources experience, agency experience preferred
  • Experience with business planning and project management
  • Experience in managing vendor relationships
  • Proficient in QuickBooks, Microsoft Office and Google Suite of products
  • Strong interpersonal and communication skills
  • Strong time management stills, detail-oriented, ability to self prioritize

Work Environment:

This job operates in an office setting. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets, digital camera, and scanners.

Physical Demands:

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. This is largely a sedentary role; however, some filing and storage is required. This would require the ability to lift files, open filing cabinets, put away groceries, dishes and supplies, and bend or stand on a stool as necessary. The employee is frequently required to sit for long periods of time.

Travel:

No travel is expected for this position. However, this position may be required to drive to pick up office supplies and other items during the regular course of the day and within a 45-minute radius.
